Senior living tour follow-up

Tour follow-up that starts on the tour.

Families rarely decide on the first visit. WalkSuite helps them shortlist suites during the tour, take the ones they saved home by QR code and email, and puts every request in a leads inbox your counsellors work from.

The problem

Why senior living follow-up is hard.

A move into senior living is a family decision. The person touring may not be the person deciding, adult children often join from another city, and the choice can take several visits over weeks or months. Meanwhile, what the family actually explored on the tour (the suite they lingered on, the one they ruled out, the care question that worried them) lives only in the counsellor's memory and notes.

So the follow-up call starts cold, and the brochure that went home is the same one every family receives. The best follow-up picks up exactly where the tour left off. That only works if the tour itself captures what the family cared about.

How it works

How WalkSuite carries the tour home.

Find my suite

Three quick questions about care, size and priorities give families a ranked shortlist of suites, with the reasons each one fits. It is a gentle way to start the tour for a family who does not know where to begin.

Save and compare

Families save the suites they love and compare up to three side by side: size, layout, care level, facing and availability. The comparison that used to happen at the kitchen table later now happens with the counsellor in the room.

Send me my tour

Before they leave, families get a QR code and a branded email of the suites they saved, with a note from their counsellor. It is something specific to share with the siblings who could not make the visit.

The leads inbox

Every tour request lands in one inbox with the suites the family saved. Assign a counsellor, track status, add notes and export to CSV. The next call opens with the suites the family chose, not a generic script.

Dashboard and reports

Sessions, suites viewed, tour length, the tour funnel, busiest times, a suite heatmap and the available suites families overlook.

Suite detail cards

Layout, size, care level, facing direction, availability and where it sits on the floor. Every answer a family asks for, on one card.

Your CRM

Alongside your CRM, not instead of it.

Most senior living sales teams already run on a CRM such as Enquire, WelcomeHome, HubSpot or Salesforce. WalkSuite does not replace it. It is the tour layer: it captures what each family explored and saved on the sales floor, and hands that to your team.

Today the leads inbox exports to CSV for your CRM. Direct sync with HubSpot and Salesforce is on our roadmap, as are share links that expire and show when a family returns. Everything else on this page is in the product now; the feature map keeps the two apart.

A simple rhythm

Senior living tour follow-up, step by step.

Every community has its own cadence. This is a simple pattern that works well with WalkSuite:

  • Before they leave: send the tour from the iPad while the family is still with you, with a personal note.
  • The next day: call about the suites they saved, by name, and answer the question they did not get to ask.
  • When the wider family joins: walk them through the same saved suites, side by side, on the next visit.
  • When a suite moves: if a saved suite goes on hold, tell the family first. Keep suite availability current so this never surprises you.
  • Every month: look at the tour funnel, the suite heatmap and the available suites families overlook, and adjust the tour.

It all starts with a good tour. See the interactive floor plans families explore before they save a suite, or book a demo to try Send me my tour yourself.

FAQ

Tour follow-up questions.

What is Send me my tour?

At the end of the tour, families get a QR code and a branded email of the suites they saved, with a note from their counsellor. The request lands in your leads inbox with those suites attached, ready for follow-up.

What does Find my suite ask?

Three quick questions about care, size and priorities. Families then get a ranked shortlist of suites with the reasons each one fits, which the counsellor can open, compare and save.

Does WalkSuite replace our CRM?

No. WalkSuite is the tour layer that sits alongside your CRM. The leads inbox exports to CSV for your CRM today. Direct sync with HubSpot and Salesforce is on our roadmap.

Who sees the leads, and what can they do with them?

Your team, signed in with their own accounts. Every tour request arrives with the suites the family saved. Staff assign a counsellor, track status, add notes and export to CSV.
